DESIGN AND IMPLEMENTATION OF COMPUTERIZED STUDENT REGISTRATION SYSTEM

ABSTRACT

This work introduces a computer oriented approach to the generation of Student registration Number in the registration process of a students in admissions in Institute of Management and Technology IMT Enugu as opposed to the Manual process that is currently in use. Although there may be a computer system existing already in the department used for staff and students services, it cannot handle the automatic REG. NO generation in the registration of the students since it was not initially designed for this, if there is, the computer, system may be making use of batch processing techniques. The loopholes in the existing system manual will be taken into account in designing the new system. All the systems specification required to put the system into operation will be considered. This online operation will be made to be user interactive. The programming language to be used for the systems design and development is Java using NetBeans 8.02 development environment. These system will be designed to auto generate Students Register Number which will serve as their unique ID in to the school. The system used an algorithm the will sequentially generate this REG. NO without a duplicate in them there by making the system efficient to its function and operations. This work is expected to eliminate the shortcomings of the existing system thereby being an explicit solution to implicit problems inherent in the system.

CHAPTER ONE

1.0 Introduction

In most Nigerians Universities, the process of registering all students as members of the institution is largely concentrated into a very short period of time. At the University of Newcastle, the registration period occupies a little over a week in September, at the start of the academic year. The purpose of the registration process is to determine which students will be taking courses within the University, and for the administration to keep its records uptodate. From the students point of view, registration enables them to acquire the necessary authorised membership of the University, and where relevant, obtain their grant cheques. It is usually the case that students will register for particular courses, or modules, at the same time, and the information collected is used by members of the teaching staff to construct class lists, etc.

Prior to 1994, registration involved students being registered in a single place within the University, where they would present a form which had previously been filled in elsewhere by the student and their department. After registration this information was then transferred to a computer system. In 1993, the University decided that the entire student registration process was to be computerised electronic registration for the Autumn of 1994. The decision was also made to decentralise the registration process so that the end users of the course data, the various University departments, would have more control over the accuracy of the data entered. It was also expected that the delay before the final data could be delivered back to the departments would be considerably reduced. Although the same registration forms were issued to students, available data concerning each student had already been entered in the system database. At the registration, using unique student number as a key, student data was retrieved from the database and updated as necessary.

Needless to say that the registration process is extremely important to the University and the students: the University cannot receive payments for teaching the students, and students cannot receive their grants or be taught until they have been registered. Thus the electronic registration system has a very high availability and consistency requirement; admissions tutors and secretaries must be able to access and create student records particularly at the start of a new academic year when new students arrive. The high availability requirement implies that the computerised registration system must be able to tolerate a reasonable number of machine and network related failures, and the consistency requirement implies that the integrity of stored data student records must be maintained in the presence of concurrent access from users and the types of failures just mentioned. It was expected that most human errors, such as incorrectly inputting data, would be detected by the system as they occurred, but some offline data manipulation would be necessary for errors which had not been foreseen. Tolerance against catastrophic failures such as complete electrical power failure, or a fire destroying much of the University infrastructure although desirable, was not considered within the remit of the registration system.

A solution that would require the University buying and installing specialist faulttolerant computing systems, such as Tandem 1 or Stratus 2 was not considered economically feasible. The only option worth exploring was exploiting the Universitys existing computing resources. Like most other universities, IMT has hundreds of networked computers Unix workstations, PCs, Macs scattered throughout the campus. A solution that could make use of these resources and achieve availability by deploying softwareimplemented faulttolerance techniques certainly looked attractive.

1.1 The Problems and its Setting

In our modern technological age, science strives as it can to alleviate the problems of man with a view of making like less tedious for him. With the advent of computers in the later forties which is regarded as one of the greatest scientific discovery, the problems of our society are gradually being reduced to their minimum level.

The aims of this project in a more improved and confined way is the use of computer in the registration of students in generating their unique ID Number Reg. No. by the Institute of Management and Technology IMT Enugu.

The design involves the steps to software development using Java and a development environment of Netbeans 8.0.2.

1.2Statement of Problem

The admission department of IMT has for long now been admitting students and assigning them Reg. No through the manual process, a process where the reg no will be assigned manually, corresponding it the existing one to see that there will be no duplicates in the previous assed ones, yet the still end up having duplicates.

The developed new system takes control of all the above mentioned problems efficiently.

The project has the objectives of making the registration exercise less tedious for the students and even the registering staff. It is also aimed at developing a system that will restrict unauthorized access thus providing strong security to stored information. One of the prior objectives of this research work.

1.3 Purpose of the Study

The purpose of this study is to provide the overview of the existing system, sport the shortcomings, design and develop a new system that will be able to overcome these limitations of the existing system.

This project work has the intention of developing system that can provide fast retrieval, update and storage of information and data inclusively such that access to information can be done with a greater ease.

1.3Objective of the Study

This project work is aimed at producing a system that will eliminate the difficulties and unnecessary protocols inherent in the existing system. From the feasibility study the researcher took, he came out with an alternative which is much better in terms of cost effectiveness, time saving, reliability and clearity of output, with the objective of:

1.4Significance of the Study

It is hoped that the result of this study will serve as tools for helping students to get registered into the school, and will go a long way helping the staff and the management also. This is easy to achieve since standard and tested computer programs handle all sort of complex calculations, storage and retrieval of valuable information needed from the school.

Also, important is the fact that records prepared with electronic machine can be stored as long as needed in nonbulky and compact systems.Works has been done in many areas of computerization, in industry and commerce but not much has been done in school administration and management system/services. We have therefore done this work to highlight the use of an online in the important area of students services.

1.5Project Study Scope

This project work is set to design and implementation of computerized student registration system for automatic Registration Number assignment in the Institution of Management and Technology, Enugu. It covers only the REG. NO generation for fresh students.

1.6Limitation of the Study

Cost: cost is one of the limitation to this research work were it requires huge amount of money to put up this system with such functions, and the resources that it requires in order to run effectively

Maintenance: the new system requires regular service and maintenance were to make every necessary updates.

Power supply: Availability of stable, efficient and reliable power supply is also a source of limitation this project as it depend only on source of energy to keep functioning.

1.7Definition of Terms

Computer Network: Computer Network is a system that connects two or more computers together using a communication link.

World Wide Web: World Wide Wed simply called www is the most important tool of the Internet. It was created in the late 1980s in Europe and was used limitedly in academic cycle.

Databases: A systematically arranged collection of computer data, structured so that it can be automatically retrieved or manipulated. It is also called databank.

File Transfer: Any kind of computer file can be sent via the Internet from one Internet user to another. Table of accounts on spreadsheets, design by a graphic artists, music sound files etc, can all be exchanged in this way.

A PRACTICAL STUDY ON PROCEDURES TECHNIQUES OF MAJOR ASSEMBLING OF COMPUTING DEVICE (A CASE STUDY OF INTERNAL COMPONENTS OF COMPUTER SYSTEM)

ABSTRACT

Computing has been a major aspect of the computer science that deal with the operational sector of the computer device, its compilation has been the essential and integral part of the whole system, the sequential procedure must be analyze, and its algorithm flexible. The researcher embarked on this study to practically analyze its techniques and demonstrate the steps. The researcher employed SSADM method with DDCM monitoring and recording system. The system will be coded using the machine code a low level programming language. This language will serve as the backbone of the computing device.

CHAPTER ONE

1.0 INTRODUCTION

Computing is intimately tied to the representation of numbers. But long before abstractions like the number arose, there were mathematical concepts to serve the purposes of civilization. These concepts include onetoone correspondence the basis of counting, comparison to a standard used for measurement, and the 345 right triangle a device for assuring a right angle.

The earliest known tool for use in computation was the abacus, and it was thought to have been invented in Babylon circa 2400 BC. Its original style of usage was by lines drawn in sand with pebbles. Abaci, of a more modern design, are still used as calculation tools today. This was the first known computer and most advanced system of calculation known to date preceding Greek methods by 2,000 years. Computing is any goaloriented activity requiring, benefiting from, or creating algorithmic processese.g. through computers. Computing includes designing, developing and building hardware and software systems; processing, structuring, and managing various kinds of information; doing scientific research on and with computers; making computer systems behave intelligently; and creating and using communications and entertainment media. The field of computing includes computer engineering, software engineering, computer science, information systems, and information technology.

The discipline of computing is the systematic study of algorithmic processes that describe and transform information: their theory, analysis, design, efficiency, implementation, and application. The fundamental question underlying all computing is What can be efficiently automated

1.1.BACKGROUND OF THE STUDY:

The assembling of the computer system is exactly the opposite of disassembling operation. Before starting assembling the computer system, make sure you have the screws and a screwdriver for those.

The first step for assembling the computer system starts with mounting the processor on the processor socket of motherboard. To mount the process, you dont need to apply any force. The special ZIF zero insertion force sockets are usually used to prevent any damage to the processor pins. Once the processor is mounted, the heat sink will be attached on top of processor. The CPU fan is also attached on top of heat sink.

Now the motherboard is to be fixed vertically in tower case and the screws are fixed from behind of the motherboard.

Now line up the power supply at the top back end of the cabinet and screw it. The power connectors for motherboard power supply and CPU fan power supply are to be connected. If the cabinet cooling FAN is required than it is to be screwed at the back end grill of the cabinet and its power connector is to be connected from SMPS.

Install the CD/DVD drives at the top front end of the cabinet and screw it. Install the Hard disk drive and floppy disk drive below CD/DVD drive and screw it. Make sure once screwed there is no vibration in either of the CD/DVD, Hard disk or Floppy disk drives.

Now select the appropriate data cable and connect one end of the cable to its drive socket and other end at its appropriate connector on motherboard. For SATA hard disk drive or CD/DVD drives use SATA cable and its power cable, else use IDE data cable. Do the proper jumper settings as per the usage requirement. It is time now to mount the memory modules on the motherboard by aligning the RAM to its socket on motherboard and press it downward. Make sure the side tab are fixed into the RAM notch. If not you may still have to press a bit.

Install the internal cards to its socket and attach the cables or power cable to it. The selection of right socket or slot is required as per the type of socket.

Cover the tower by placing the it and pressing towards front side and screw it. Connect the external devices with CPU at its appropriate socket. It includes mouse and keyboard at PS2 or USB connectors. Monitor at the video output socket. Connect the power cable to the back of tower in SMPS. Plug in the power cable to electric board.

 

1.2.STATEMENT OF PROBLEM:

This study came to be because the researcher came to discover that they are not much material if not completely on practical procedures of assembling computing device which for this study is the internal component of a computer device. Whit this reasons, they have been among the students lack of knowledge about the assembling of computing device even to the young engineers and technicians. For this reason much is spent on hiring personnel to assemble a computing device.

 

1.3.AIMS AND OBJECTIVE OF THE STUDY:

The researcher hereby sets the following as the aims and objective of this study:

1.To successfully create a project that will function as a manual towards the assembling of computing device.

2.To create a guide like manual that will assist engineers, technicians as well as lay men in their attempt to understand what is involved in computing device assembling.

3.To quickly bring about a correction to the mistake made in the past by technicians and engineers as well in their attempt to assemble a computing device.

4.To minimize or curtail the amount spent by computing device users in hiring the services of personnel to assemble their computing device.

The diverse nature of the cases treated by the hospital, coupled with the fact that they consistent effort they make to develop their service areas and acceptable standard. These service areas include all the wards medical and surgical for male and female, pediatrics, chest unit and the maternity section as a whole. Other departments are out patient department OPD, laboratory department, pharmacy department, central sterding and supply department C.S.S.D XRAY department community medicine and the mobile clinic, theatre department. The roles of these departments are complementary and depict what they call teamwork in patient management, the patient always beings at the center.

The Hospital since its establishment has demonstrated a very keen interest in the staff recruitment and development of highly skilled and very dependable medical and paramedical personnel. Presently, their work force stands at 460.

ABSTRACT

I am a student of the above institution in computer science department who currently seek to carry out a research work on design and implementation of a computer based seaport billing system, I took this research upon me after my research survey and finding for problems that actually needs at attention and solution. I seek to embark on this research due to the issues the importers and exporter go through to get there containers cleared and pay there bill at the seaport which is so stressful. To those at a distance the have to get down to the seaport for them to get there good cleared. Whereby, adding a computer aided assistance to the current system will help automate the operation and thereby give room for users to make and get there goods cleared at the seaport.

Therefore, I will be designing a system that will automate the operation at the seaport on goods clearing and bill payment using an online platform system, a system that will be secure and reliable for usage and guarantee third party policy. Due to the platform which this system will run on, it will be developed using the web programming tools and language. Therefore, this system will be deployed using PHP, Javascript, Native Java, Jquery, Ajax and mySQL for its development.

INTRODUCTION

Nigeria Ports Authority is a government owned organization under the supervision of the federal Ministry of transport with responsibility of providing specific ports and labor services for the country’s meantime industry.

One of their numerous duties and major functions is the provision of Cargo Handling Quays facilities. Right from the inception of this company, the billing system has been manually processed. The port complex is in the early stage of computerization and the manual method of preparing customers bills are delayed.

A computer based billing system is necessary for handling and preparing of accurate bills for customers. The new system will facilitate the prompt preparation of bills, easy retrieval of information, security to vital information and resource sharing among the billing department.

STATEMENT OF RESEARCH

I took time to make inquiry and findings and records shows or has it that the billing system in Nigeria Port Authority, one port has been plagues by several factors based on the current manual process by the use of the Draft import Debit and import Debit Note, these factors includes:

Fills and records are not properly kept

Errors are easily made and hardly detected

A lot of time is wasted to prepare bills

Information is not well documented

Security of files or document is not granted.

OBJECTIVE OF MY STUDY

The primary aim of my research work is to develop a computer based seaport billing system that will handle the bills raised for various customers specifically in NPA, Onne Port. Some other objectives which I will be covering in this research work are as follows:

1.A system that will enhance the security level of the system and secure their data which are sensitive.

2.An easy and friendly user interface system which will allow fast operation and manipulation of data, like inserting of new records, updating of previous records, deleting records, and making query and search on the records at easy, festally and timely.

3.A system here document will be properly kept and managed only by the authorized persons or users.

SIGNIFICANCE OF PROPOSED SYSTEM

Yes this system is essential to be developed, its significant will bring change and enhance the current operation at the seaport which will yield efficiency and effectively standardize the organization.

The chances of frauds of any kind will be drastically reduced as well as errors on customers bill.

The new system saves time and facilitates the prompt raising of bills as delay brings on extra cost to customers.

The information flow is well maintained and it enhances the top management decision making.

DESIGN AND DEVELOPMENT TOOLS

In order to achieve this project work I choose for the new system design the following tools which include: unified modeling language, PHP hypertext processor as the saver scripting language, cooperated with Ajax Asynchronous JavaScript and Jquery for validations, MY SQL structure query language as the database, java for applets which will run on the network.

The proposed system design will allow the use of activity diagrams, use case, data flow diagrams and a flow chat. This language was chosen because of its wealth of class libraries and features for developing system web based applications.

Prompt tax payment and reduced tax evasion is always a primary objective of the government in most civilizations that exist today. The issue of tax evasion has proven to be a difficult practice to curb even in nations with a proper database of its citizenry and the current mode of tax payment is redundant and hectic as ascertained through a survey of our case study. Some of the challenges governmental bodies have to overcome in order to encourage the prompt payment of taxes and effectively reduce evasion includes, developing convenient payment methods and having proper records keeping systems. This research work is a concise summary of how the continuous development of computing science and its wide spread ability to be deployed to solve a wide range of problems can be geared towards the development of an electronic taxation system to assist government bodies with convenient tax collection and record keeping. The waterfall methodology was selected for system development. Goals to be achieved by the system are instant access, improved productivity through efficient utilization of resources, database creation and records management, simplification of operations, reduced processing time, user friendliness, portability and flexibility for further enhancement. The Etaxation is not a new system, but a rather local solution to a problem with global purview. This system looks at how tax payment can be encouraged through simplification and increased efficiency in payment processing.

Tax is a charge imposed by a government on persons, entities or property, administered to generate revenue for that government Black, 1999. Tax is a common source of income generation for financing government activities. Individuals and organizations are expected to fulfill their obligations on tax payment as required by law to give the government the financial power, amongst other purposes of taxation. Effective taxation therefore becomes important as it is a source of required financial power for a government to rule its territory.

There are two forms of taxation common to most countries, direct taxes to be paid by the tax payer on his income, profit or asset owned. The other form, indirect taxes is imposed on commodities before they get to the consumer, and are to be paid by the consumer not as taxes but as a part of the selling price per unit of the commodity Money Control, 2013.

The Nigerian tax system is surrounded by countless problems which include: Little data available on the history of tax revenues or tax payers due to a lack of proper records keeping system Federal Republic of Nigeria, 1997. A lack of comprehensive tax statistics and a centralized database for the existing ones Federal Republic of Nigeria, 2002. Deployment of limited man power and other necessary resources into redundant roles and job functions Ariyo, 1997. This would reduce the issue of tax evasion and hence an increase in government tax revenue. It would also allow taxpayers process their transactions online without having to visit the office of the FIRS, reducing the workload on the resources available to the FIRS and which consequently give room for the reallocation of freedup resources. The objectives considered during the development of the etaxation system include: Creation and management an effective and efficient database to provide tax payers records, information/biodata for easy referencing. The provision of an alternative payment routes for tax payers so as to encourage immediate tax payment and provide relief to those who find it an easier and more efficient payment route. Which will be achieved by creating a web based system in which registered entities login and make payment. The availability of an alert system that to notify the regulatory body of outstanding payment by registered entities and workers.

The etaxation system is to be developed for use by the tax authority at the federal level for tax payment, record keeping and educational/awareness programs in underdeveloped and developing countries with specific focus on the African continent.

1.1BACK GROUND OF THE STUDY:

Governments are as diverse as the people and cultures they serve. But when it comes to keeping a government running through efficient assessment and collection of taxes, they all face the same basic challenges. Whether youre a county on Floridas Gold Coast or a republic in Africa emerging from strife and putting comprehensive tax procedures in place for the first time, it all comes down to fair and transparent assessment and valuation of property; efficient, effective billing and collection procedures; and absolute transparency with your most important constituents the public.

Breakdowns at any point in the system can lead to lower revenue, confusion and perceptions of unfairness. Yet revenue departments face serious internal pressures, since they are often compelled to get the most out of aging or outdated software and hardware systems. 1.2 STATEMENT OF THE PROBLEMS

Due to the manual process of collection of Tax and proper recording of records, the government fails to collect the appropriate Tax from the people, body, and cooperation also from business firms that are due for Tax payment. The government cannot access all the location to collect Tax from them. Also because of inconsistency in the process, the actually Tax payment might not be calculated effectively from this bodies. Therefore, making the government loss so much in the revenue generation from the Tax income service.

1.3 OBJECTIVES OF THE STUDY

This study is intended to design and develop a computerized etax system, a system that will allow all this bodies to pay their Tax from their location and pay consistently.

Specifically, other objective of this system is to develop a system that will provide:

A registration, payment processing and tax filing facility for individuals and businesses.

Provision for individuals and corporate bodies to request for their Tax Clearance Certificate TCC online.

A Customs management system for its import, export and cross border activities.

Electronic interfaces with the Gboko LGEA and the Companies and Intellectual Property Commission CIPC.

Minimizing the effort of the book keeper in processing the payroll slip and payroll form.

Making an efficient and accurate computation of Tax payment due.

Creating a wellarranged database and to implement strong security of the system for data security.

1.4 SIGNIFICANCE OF THE STUDY

The proposed system will help the internal revenue commission board and the LGEA especially for Tax collection and management. It will help to lessen the time and effort of the board in moving around and collecting Tax. The system develop can accommodate changing features and produce a paperless environment through 2well design database.

This study will help the proponents to enhance the ability on how to create an understandable computerized system in an easy way. This will serve to the proponents as a challenge to do a better system.

1.5SCOPE AND LIMITATION

1.5.1 Scope

This study is designed to develop and implement a computerized payroll system which will be called an eTaxation system for BIRDS and Gboko LGEA, it cover the process of preparing and collecting of Tax from employee, cooperation and business firm and management of this records

The proposed computerized payroll system for BIRDS and the Gboko LGEA does not support offline program. It only uses the internet or the wireless Area network WAN for its operation.

Other limitations are as follows:

Lack of fund to sponsor the research and implementation of the at the initial time.

ii Inadequacies of professional programmers who should have been used as reference point at the design stage through the implementation stages.

ABSTRACT

School fees payment and clearance for examination protocol in Caritas University is one exercise the students detest a lot. The reason for this is not farfetched; the manual processing method in use. This manual process is time consuming and prone to errors. The delay is even more pronounced during the clearance period when all the students submit their receipts to the clearance officer for verification before examination. As expected in manual processes, this has led to endless queues during the clearance period. The queuing is as a result of the clearance officer personally going through the receipts of the students and in the process some have misplaced their receipt. This project work focuses on developing software that can handle this task efficiently. The clearance officer can now verify the students for examination without the need for them queuing because the process is now computerized which will be fast, reliable and efficient.

1.1 INTRODUCTION

Paying of fee in school especially in tertiary institutions is an indispensable responsibility on students, parents, guardians, government or organizations offering scholarship grants. The fee charged is used in providing a conducive learning environment for the students. It enables the management in paying staff salaries, providing equipment and maintaining infrastructures in the school. At Caritas University Bursary department, the need for an efficient and automated students fee management system cannot be overemphasised. This is because it is a private University whose major source of funding is by fee payment from the students. As in every other legal transaction, receipts are then issued to the students which they must present before; taking exams, getting accommodation in the campus, submission of course forms, lab test and treatment, getting ID cards etc. Over the past few years, enrolment of students into the university has steadily increased with its attendant demand more on the clearance officer who personally and manually goes through all the students receipts and certifies than by issuing clearance cards before examinations. This manual processing system has caused loss of receipts and delay during the clearance period. In order to speed up this process and simplify this manual fee processing system, the development of an electronic database system is thus being proposed in this project work.

This computer based management system has promising prospect for educational institutions in order to enhance the fee management system. The demand for a computer based fee management processing system in a large number of universities worldwide, is a growing necessity. The proposed system would store, route, display and issue receipt and cards electronically. This system not only enhances the universitys document management, It also allows decisions to be made faster and more efficiently.

1.2 BACKGROUND OF THE STUDY

Caritas University is a private university approved by the federal government of Nigeria on December 16 2004. It is situated in Enugu and was officially opened on January 21, 2005 by the then Minister of education Prof. Fabian Osuji. The 250 pioneer students matriculated on May 28, 2005 in a beautiful ceremony that attracted dignitaries both from church and State. It is the second catholic University in Nigeria founded by Rev Fr Prof Emmanuel Paul Mathew Edeh C.C.Sp OFR. The proprietor of the University is the sisters of Jesus the Saviour, a religious congregation founded by him.

The vision of Caritas University is to rescue the wandering and teeming youths from further slide into academic and moral decay and transformation of the society through sound and unadulterated education. The scope of this study is basically on designing software or database that holds students school fees Status, Students Ledger book, generate receipt, generate clearance card and other records. The record or data in the database can thus be use in decision making especially during examination clearance.

1.5 THE SIGNIFICANCE OF THE STUDY

This study is aimed at replacing the inefficient and timewasting manual fees management system in Caritas University and clearance during examinations. Lectures are sometimes missed by the students who normally go for this clearance without which they will not sit for their exams. Thus this study is significant to eliminate these inefficiencies.

ABSTRACT

The research topic of this study is The Effect of Computerized Accounting System on the Performance of in Banking Industry a study of selected banks in Enugu Metropolis. The purpose is to know whether the application of Computerized Accounting System supersedes that of manual Accounting System, and that if computerized Accounting System enhance higher turnover and profitability, and also whether a computerized accounting system is an effective means of keeping accounting records. The study population is 70 persons who are the members of the staff of the three major selected banks. Using the Taro Yamenes formula the sample size calculated gave 60. The formulated hypothesis were tested using the analysis of variance ANOVA statistical technique at 5 level of significance. The researcher also made use of primary methods of data collection which included questionnaire and personal interview. Also the secondary method of data collection used was gotten from official documents of the banks, various research work on computerized accounting system, accounting journals, textbooks and Caritas University Amorji Nike, Emene, Enugu State library. Based on these, the researcher recommended that banks in Enugu Metropolis should channel most of their resources in the training and development of bankers and Accountants personnel in computerized accounting system related technology such as I.C.T to boost performance in their banking operations and their personnel. Also due to the widespread of computer trends and its dynamics nature, it is recommended that banks in Enugu metropolis who are still battling with manual system should adopt specifically the Computerized Accounting System.
